How do I stop selling something online that I already sold in the shop?

You stop running two stock counts. When the counter and the storefront share one inventory, selling the last unit at the till removes it from the website in the same moment — there is no overnight sync window for an order to slip through. This is the single most common reason retailers outgrow the combination of a standalone POS and a separate webshop: the two were never designed to agree, so somebody has to reconcile them by hand, every day, forever.

How do I keep track of stock in a small store?

Start by recording stock movements where they happen rather than after the fact. Every sale, return, supplier delivery and transfer should adjust the count automatically, so the number on screen is the number on the shelf without anyone retyping it. Then set a reorder level per product so the system tells you what to buy instead of you noticing an empty shelf. A stock count becomes a check on the system rather than the only time you know what you own.

Is a spreadsheet good enough for tracking stock?

For a few dozen products and one person, yes — and a spreadsheet is a genuinely sensible place to start. It stops working at three predictable points: when more than one person needs to update it at once, when you want the count to change by itself as you sell, and when you have more than one location. At that point the spreadsheet is not wrong, it is just always slightly out of date, and every decision you make from it inherits the lag.

What is a POS system?

A point of sale system is what replaces the cash register: the software that rings up a sale, takes payment, prints or sends the receipt, and — this is the part a register never did — writes down what just left the shelf. Modern POS software is the record of what you sold, to whom, at what margin, and what you now have left. The till is the visible part; the inventory, reporting and accounting behind it are what you are actually buying.

What is the best POS system for a small business?

The one that does not leave you running a second system next to it. For most small retailers the deciding question is not the feature list at the counter — every POS can take a payment — it is whether stock, online orders and the books live in the same place. How do I set up an online store for my business?

Do I need to know how to code to build an online store?

No. sell.ke builds the storefront from your product catalogue: you choose a layout, upload a logo, and point a domain at it. What normally requires a developer — payment integration, mobile layout, stock availability, order management — is already wired, because the store is a view onto the system you are already running the shop with, not a separate website that has to be kept in step with it.

Can I track inventory across more than one location?

Yes. Locations share one product catalogue but hold their own stock, so moving goods between them is a recorded transfer rather than a re-count at both ends. Reports run per location or across all of them, and staff permissions are set per location — a branch supervisor does not need to see another branch's margins.

How do I take card and mobile payments in store?

You need two things: a way to capture the payment, and a system that records it against the sale. sell.ke handles the second and connects to the first — cards through a payment provider, mobile money through the local rails, cash with a change calculator and a drawer count, bank transfers matched against the invoice. Whichever the customer reaches for, it lands in one ledger, already attached to the items that were sold.

What hardware do I need to print receipts and scan barcodes?

Less than most people expect, and none of it to get started. sell.ke runs in a browser and on Android, so a phone, tablet or laptop you already own is a working till on day one — the phone camera scans barcodes. When volume justifies it, add an 80mm thermal receipt printer (Bluetooth or USB), a handheld barcode scanner, and a cash drawer that the printer opens. There is no proprietary terminal to buy and no per-terminal licence.

How much does it cost?

Plans run from USD 12/month for a single-location till to USD 115/month for unlimited scale, with the online store on your own domain included from USD 23/month. In Kenya the same plans are KES 1,499 to KES 14,999/month, billed in shillings. Every plan starts with a 7-day trial and no card, and there is no per-terminal licence and no commission on your sales. There is no hardware to buy either — sell.ke runs on a phone, tablet or laptop you already own.

Is there a free plan?

No, and we would rather say so plainly than advertise a free tier that turns out to be a trial. Every plan is paid after a 7-day trial that needs no card. The entry plan is USD 12 (KES 1,499 in Kenya) a month.

Does it work without internet?

The till does. Offline mode keeps taking sales, printing receipts and reserving stock while the connection is down, then syncs everything when it returns. The parts that are inherently online stay online: a card or mobile-money authorisation, a tax-authority submission and the storefront itself all need a live link.

Can I run it from a phone or tablet?

Yes. The Android app on Google Play is a full point of sale, not a companion view — it takes payments, scans barcodes with the phone camera, prints to a Bluetooth thermal printer, shows live sales and works offline. Useful for a market stall, a delivery round, a pop-up, or simply a second till on a busy Saturday. An iOS version is coming.

Can I import the products I already have?

Yes — bulk import from CSV or Excel, with photos, variants, prices and opening stock counts. If what you have is not a clean spreadsheet, Amina, the built-in AI assistant, can build products from a supplier invoice or a photo of your price list, which is usually faster than typing them.

Which countries does sell.ke work in?

The software itself is not geographically limited — inventory, the counter, the storefront, reporting and accounting work anywhere, in multiple currencies. What is market-specific is the payment rails and the tax rules. We currently run with merchants in Kenya, Uganda, Tanzania, Rwanda, Ethiopia, Ghana, Nigeria and South Africa, with the deepest local payment and compliance integrations in Kenya. Does it work with M-Pesa?

Yes, at both ends of the business, through a direct Safaricom Daraja integration. At the counter a cashier sends an STK push and the customer approves on their phone; the sale will not close until confirmation lands. On the storefront, M-Pesa is a checkout option like any other. The shortcode is the merchant's own, so money lands in the business's account without sell.ke sitting in between.

Is sell.ke compliant with KRA eTIMS?

Yes, on the top tier. It generates KRA-compliant electronic tax invoices and submits them to eTIMS directly, with no separate device and no third-party fee. This applies to merchants trading in Kenya; other markets have their own e-invoicing regimes, and the country pages say exactly where we stand with each.

Does sell.ke have an AI assistant?

Yes. Amina is built in on every plan at no extra cost.
